Malmesbury School Raleigh Expedition to India 2011

Minutes of the Meeting of the Steering Group - Monday 28th February 2011.

We unfortunately have had another drop out – group size is now 17.  To maintain costs Jim Clements at Raleigh is keeping us as a larger group working within a larger community.  There are pros and cons to this but the price will stay the same!

Training Weekend May 21/22… Raleigh have been given Burbage Scout Hut as an alternative venue and we are awaiting their confirmation that it is suitable.  Raleigh will provide all the camping kit and no specialist equipment will be needed for the weekend. The weekend will cover team building, health and safety, understanding the culture and where we are headed in India.  Jim at Raleigh is adamant it will not be too taxing. Pupils to be dropped off at 9am on the Saturday and collected about 3.30pm on the Sunday. Parents sharing drop off and collection will minimise costs.

VISAs – need to be applied for individually. We need to apply for the three month tourist visa and it is active from the date of issue. As a result we want to apply no more than a month before departure.  I will ensure that you receive an email with all the information for application in June.

All EMERGENCIES in India will be managed by Raleigh and pupils will always have a member of Malmesbury Staff in the vicinity as well as Raleigh personnel and a Safety Officer.  Miss Walker and Mr Elton will be responsible for all travel in the UK including the flights to and from India.  Health and Safety in India will be discussed at the Training Weekend.

Vaccinations – To find out which school immunisations your son/daughter have had please call 01225 731500 and ask for information about Childhood Immunisations.  Dr Pettit will be emailing some more information about the vaccines that will be needed but may be best to speak to your GP.

Fund Raising – some pupils seem very well sorted on the fund raising front others need a bit more support.  They must actively use Mr Elton/me. Pupil meeting - FRIDAY 04th March at 1pm in T2 to further develop ideas.

Another Parent/Pupil meeting – APRIL 4th 6-7pm in the Library.  This is a different date to the one suggested at the meeting.

Flights to be paid – 8 weeks prior to departure so we shall need the final payment Thursday 26th May (only 1 week later than the final Raleigh payment) – not much leeway.

A Bike Ride is being organised by Dr Pettit – he will be emailing additional information soon.

The Indian Evening was looking too costly but a social event at the Spice Merchant has been suggested.  All present at the meeting thought that this would be a really nice thing to do.  As an alternative Nicole Hitchings is looking into a Ghurka event with food and entertainment which they would be willing to host at no cost.

Recipe Book – Mrs Hughes will email a cover and a bit more information.  If you are interested in selling some cook books let her know.

I think this is a succinct record of the meeting.  Please email me if there is anything more to add.

Miss Walker
